Client Background
The Client is a B2B SaaS company developing a no-code, white-label client portal platform for agencies, accounting firms, consultants, law firms, real estate companies, and other professional service businesses. The platform centralizes client onboarding, communication, billing, document sharing, and day-to-day collaboration into one branded workspace, replacing the collection of disconnected tools businesses typically use.
Our engagement focused on delivering a production-ready Minimum Viable Product before expanding it into a fully featured Version 1 platform. The goal was to build a client experience layer that businesses could launch under their own brand and domain while meeting the security and compliance expectations of enterprise customers.
The platform supports four primary user types:
Platform administrators manage subscriptions, white-label settings, and platform-wide configurations.
Business administrators configure branding, manage portal settings, organize applications, and oversee client relationships.
Internal team members collaborate with clients through messaging, documents, billing, CRM, tasks, and onboarding workflows.
Clients securely access their branded portal to exchange files, complete forms, review invoices, communicate with teams, and manage ongoing projects without switching between multiple tools.
Challenges
Most professional service businesses manage client relationships across several disconnected applications. Email, cloud storage, invoicing software, CRM platforms, and onboarding tools all operate independently, creating unnecessary complexity for both internal teams and clients.
This created several product challenges.
Rapid product delivery required an MVP that could be launched quickly while providing an architecture capable of supporting a significantly larger Version 1 release without rebuilding core functionality.
White-label flexibility required a platform that could adapt to agencies, accounting firms, legal practices, consultants, and real estate businesses while allowing every customer to present their own brand identity.
Security and compliance needed to balance passwordless authentication with enterprise requirements including SOC 2, HIPAA, GDPR, and CCPA readiness.
Modular customization required businesses to control which applications each client could access, along with the order and visibility of those applications, without requiring technical knowledge.
The objective was to replace fragmented client-facing workflows with a fully branded, no-code platform where businesses could manage communication, onboarding, billing, documents, and collaboration from one place.

The platform was designed using a modular SaaS architecture capable of evolving from a production-ready MVP into a full Version 1 release without major structural changes. The application combines secure messaging, file sharing, invoicing, CRM, onboarding, task management, and white-label customization within a single client portal. Authentication supports both Google Single Sign-On and passwordless Magic Links, allowing clients to securely access portal resources without traditional usernames and passwords while supporting enterprise compliance requirements.
Deployment Topology
Each business launches its own branded client portal using custom logos, typography, colors, authentication screens, subdomains, and branded email domains. Internal teams manage clients through a centralized administration interface, while clients securely access documents, conversations, invoices, forms, and business services through their own white-labeled portal. The modular application framework allows businesses to enable, disable, reorder, and customize portal applications without affecting the overall platform experience.

Secure Client Messaging — The platform provides real-time messaging together with reply-via-email functionality, allowing clients to continue conversations directly from their inbox without logging into the portal while maintaining a complete communication history.
Document Management — Businesses securely exchange documents through permission-based file sharing, allowing teams to control access while centralizing contracts, proposals, reports, and supporting files within each client workspace.
Client Onboarding — Custom intake forms simplify information collection during onboarding, allowing businesses to replace manual questionnaires and repetitive email exchanges with structured digital workflows.
Billing & Payments — The platform supports invoicing, recurring subscriptions, credit card payments, ACH payments, and automated billing cycles, allowing businesses to manage client payments directly within the portal.
Task & CRM Management — Shared task management enables internal teams and clients to collaborate from one workspace, while the built-in CRM provides a centralized view of client relationships and interaction history throughout the engagement lifecycle.
App & Sidebar Customization — Businesses can customize the client experience by controlling which applications appear inside each portal together with their visibility and navigation order, allowing every organization to create workflows that match its services.
Data Model & Access Control
The platform follows a multi-tenant architecture where every business maintains complete separation of branding, client records, conversations, documents, invoices, tasks, CRM data, forms, and application settings. White-label configurations including domains, logos, typography, authentication screens, and navigation layouts are managed independently for each customer.
Authentication combines Google Single Sign-On with secure Magic Links to provide passwordless access without sacrificing security. Role-based permissions control access across administrative functions, messaging, documents, billing, CRM, onboarding, and client workspaces, ensuring users only access resources assigned to them.
The platform architecture was designed to support SOC 2, HIPAA, GDPR, and CCPA readiness while protecting client information across every interaction.
