Client Background
The Client is a B2B workplace productivity SaaS company building software that helps distributed and hybrid teams collaborate more efficiently. As remote work became the norm, organizations increasingly struggled with daily standup meetings that consumed valuable time while still failing to keep distributed teams aligned across multiple time zones.
The Client envisioned Standbot, a subscription-based standup automation platform that delivers asynchronous standups directly inside Slack and Microsoft Teams. Instead of scheduling daily meetings, team members receive automated prompts, submit updates within their preferred collaboration platform, and managers receive consolidated progress without interrupting the workday.
Our engagement covered the complete product lifecycle, beginning with a production-ready Minimum Viable Product before expanding the platform into a feature-rich Version 1 with AI-generated summaries, analytics, and support for larger organizations.
The platform supports multiple user types:
Workspace administrators connect Slack or Microsoft Teams workspaces, manage subscriptions, and configure organization settings.
Team managers create standups, assign members, configure schedules, review AI-generated summaries, and monitor participation analytics.
Team members receive scheduled standup prompts, submit progress updates, and participate asynchronously without joining scheduled meetings.
Challenges
Traditional standup meetings often become difficult to manage for distributed teams working across multiple locations and time zones. Daily meetings interrupt deep work, create scheduling conflicts, and require managers to manually review dozens of individual updates before understanding overall team progress.
Building Standbot introduced several technical challenges.
Cross-platform consistency required delivering the same user experience across Slack and Microsoft Teams despite differences in messaging APIs, bot frameworks, and interaction models.
Reliable scheduling needed to ensure standup prompts were delivered at the correct local time for every recurring schedule without duplication or missed notifications.
Flexible team configuration required organizations to create multiple standups with different departments, members, questions, schedules, and destination channels while keeping administration simple.
Subscription management required recurring billing, workspace provisioning, feature access, and seat management to remain synchronized throughout the customer lifecycle.
Meaningful AI reporting required transforming free-text standup responses into concise summaries that managers could review quickly instead of reading every individual update.
The objective was to build a production-ready standup automation platform that replaced daily meetings with scheduled asynchronous updates while giving managers better visibility into team activity.

Technical Architecture
Standbot was developed as a subscription-based SaaS platform integrating directly with Slack and Microsoft Teams. The platform combines workspace management, recurring standup scheduling, automated messaging, AI-powered summaries, analytics, and subscription billing within a single application. Native integrations with Slack and Microsoft Teams allow users to complete their daily standups without leaving the collaboration tools they already use. Stripe manages recurring subscriptions while Claude AI generates manager-ready summaries from individual team updates.
Deployment Topology
Organizations connect their Slack or Microsoft Teams workspace and configure one or more standups for different teams or departments. Scheduled jobs automatically deliver standup questions to assigned members based on configured recurrence rules and local delivery times. Responses are collected asynchronously and published to designated team channels while managers receive AI-generated summaries and participation insights through the administration dashboard. Subscription management, workspace configuration, and analytics remain centrally managed across every connected organization.

Slack & Microsoft Teams Integration — Standbot integrates natively with both Slack and Microsoft Teams, allowing organizations to onboard workspaces and run standups directly within their existing communication platform without requiring employees to adopt another application.
Automated Standup Scheduling — Managers create standups with configurable members, custom questions, recurring schedules, and destination channels. Scheduled prompts are automatically delivered to participants at the configured date and time, replacing traditional daily meetings with asynchronous check-ins.
Multi-Team & Department Management — Organizations can create multiple standups across different departments while maintaining separate members, questions, schedules, channels, and reporting for each team. Every standup operates independently within the same workspace.
AI Standup Summaries — Using a pre-trained Claude model, the platform consolidates individual responses into concise summaries delivered to managers. Instead of reviewing every update manually, managers receive a single digest highlighting ongoing work, progress, and blockers across the team.
Subscription & Billing Management — Stripe powers self-service subscription management with recurring billing, allowing organizations to activate, upgrade, and manage plans while keeping feature access and billing status synchronized with workspace usage.
Participation Analytics — Version 1 introduces analytics dashboards that track participation rates, submission timing, historical response trends, and standup activity across multiple teams, giving managers better visibility into engagement over time.
Data Model & Access Control
The platform is designed around a multi-workspace SaaS architecture where every organization maintains isolated workspaces, departments, standups, members, schedules, responses, analytics, and subscription information. Individual standups maintain their own questions, recurrence rules, destination channels, and participant lists, allowing organizations to manage multiple teams independently from a single account.
Authentication is managed through Slack and Microsoft Teams workspace authorization, while administrative permissions control standup creation, team management, analytics, and billing functions. Stripe subscription data remains synchronized with platform access, ensuring workspace features, billing status, and subscription limits remain aligned throughout the customer lifecycle.
The Outcome
Standbot enables distributed teams to stay aligned without interrupting their workday. Team members submit updates directly from Slack or Microsoft Teams, while managers receive a clear overview of team activity without organizing recurring meetings.
By combining automated scheduling, AI-generated summaries, recurring subscriptions, and support for multiple departments, the platform provides organizations with a scalable way to manage asynchronous standups as teams continue to grow.
